Job Overview

Ultra is looking for an experienced Administrative and Accounting Assistant to join our growing Finance team in Tallinn, Estonia. Under the supervision of the Group Financial Controller, you will play a key role in interacting with our partners and providers.

You will process administrative (contractual, organisational and logistical) and accounting documents and reports, organise their filing and ensure confidentiality and compliance. This is an exciting position that will involve challenging problem solving, a high level of organisation and attention to detail, and the opportunity to gain knowledge in cryptocurrency accounting in a dynamic startup.

You are efficient, trustworthy and discreet when dealing with confidential information. You work well in a team but can also work autonomously.

Key Requirements

Fluent English, spoken and written
You are based and allowed to work in Tallinn, Estonia
2+ year of experience in Bookkeeping / Accounting or general administration
Competent IT skills: proficiency with spreadsheet software (Excel), Word, and online file storage (Google Drive)
Accurate, details-oriented, responsible, team player

It's great (but not necessary) if you also have:

A degree in Accounting/Finance
Any additional language skills (Estonian or French)
Previous experience in a IT company
Previous experience, or interest in the gaming or blockchain industry

Ultra is an ambitious Estonian-based startup, our organisation must be structured: you will be helping design processes that must be compliant, efficient and will adapt to the rapid growth of the company.
With our teams and our platform, our company is quickly expanding: your scope and responsibility will cover Ultra's operations and administration on a global scale.
You will have to work with stakeholders and providers in Estonia and abroad, and collaborating with them efficiently will be part of your daily routine.

Your tasks

Accounting Admin / Bookkeeping :

Bookkeeping of vendor invoices: around 150 monthly

Prepare Bank payments

Basic accounting entries (Odoo): payroll payout, marking invoices as paid, etc

Organisation & Maintenance of Accounting Shared folders

Monitor subscription payments

Support Financial Controller and Accountants

Ad-hoc admin/reconciliations tasks

HR Admin :

Maintenance of HR files & folders (shared drives & Hibob)

Maintenance of HR and Accounting database : Odoo, Hibob (Hibob policies reconciliations)

General & Office Admin :

Communication with vendors regarding payments or other administrative questions

Basic Office administration: organise new staff arrival (equipment, goodies), relationships with co-working space

Filing & Archiving (Take care of main accounting/admin Drive)

Process General & Admin / Office orders

Other admin tasks
